Project Office Pro for Mac OS
Using effective tools of scheduling and monitoring you can manage your projects more easily and efficiently. Project Office Pro app helps to create, visualise and manage projects on all of your devices: Mac, iPad and iPhone.
The new Mac version of Project Office Pro has been designed as much alike as iOS versions, to complement the ways you work. With Project Office Pro for Mac you can:
- View Gantt Chart with Start and Due dates of tasks, relations between tasks (connects), assigned resources etc.;
- Edit tasks visualy and add relations by connecting tasks directly on Gantt Chart;
- Share projects with your collegues: share project file, PDF screen of Gantt Chart, or HTML reports on tasks or resources;
- Evaluate project budget (the cost of tasks implementation and resources use);
- Use an app easily and quickly thanks to user friendly interface.

The toolbar contains a default set of buttons for frequently used commands.
Click to add new task to the project. A popup menu gives an option to add a new Task, Milestone or Group.
Click "Undo" to cancel or "Redo" to repeat previous action.
To add relations between tasks choose two and more tasks and click "Connect" button. A popup menu gives an option to add different types of connections.
To group several tasks, choose two and more tasks and click "Group" button. If you choose a task of "Group" type, than "Ungroup" button will appear.
Choose the Resource from a drop-down list to assign it to the chosen task.
Click to add a new baseline to your project. You can change a baseline name and save it to compare with actual plan.
Choose saved Baseline from a drop-down list to compare it with current project plan.
Click to create a PDF document with Gantt chart view of your project.
Click to create HTML task report or create HTML resource report.
"Inspectors" button allows to customize project view and hide or show Inspectors sidebar on the right of screen.
Inspectors sidebar options
The Inspectors sidebar is located on the right side of Project Office Pro window. Click "Inspectors" button on the Toolbar to reveal it.
The inspectors are panes with information and controls related to what is selected in the main window.
View Inspector allows to set Project view options:
Project Inspector is used to configure project settings:
Resources Inspector — is used to create and fill parameters regarding resources used in the project. Resources of two types can be added: Staff and Material. You can import resources from Contacts, or Add a new one.
Task Inspector consists of three basic sections: Task Info, Scheduling, Assignments. Here you can define all task attributes such as start and end dates, a completion percentage, and resource assignments.
Gantt Chart view
Task View consists of two parts: the task outline on the left, and the Gantt chart on the right.
The task outline is designed to quickly create, edit, and group related tasks, while the Gantt chart is a powerful visual representation of tasks durations and relationships.
Resource Load chart
The Gantt chart as well can display the Resource Load chart. It shows staff and material resources assigned to each task of project.
To get Resource Load chart shown on the Gantt chart you need to go to "Inspectors" sidebar → "Resource Inspector" → "Resource Load" field → "Show all" .
To ensure that your project is on schedule customize Work Hours and Calendar for your current project.
To set Work Hours and Calendar go to "Inspectors" sidebar → "Project Inspector" → "Project Info" field OR in a drop-down menu in "Project" navigationbar.
Editing Working Hours allows you to set the Normal Hours and Non-working Days, that are applied to every week:
In Calendar you can set the Normal Hours and Non-working Days that are applied to each day of month or year
Resources are the tool you need to an effective management of personnel or materials.
In Project Office Pro you can create resources of two types of resources: Staff and Material:
To add Resource go to "Inspectors" sidebar → "Resource Inspector" → "Add new Resource" field.
After clicking "New Resource from Contacts" a pop-up window with list of contacts will be shown.
|Note: To import Resource from Contacts, an app should have an access to Mac Contacts.|
In the pop-up only contacts that have First and/or Last Name will be shown. These contacts should be listed in "All on My Mac" group.
Syncing Mac and iOS versions
Syncing projects between iOS and Mac OS X versions is done with iCloud Drive and Files app. The "Files" app is available either from your iOS device or directly from Project Office app.
NOTE: To get access to all files on iCloud Drive the same Apple ID both on Mac and iOS device should be enabled.
Opening files on Mac:
To start working with project files on Mac make sure iCloud is enabled on your Mac: "System Preferences" → "iCloud".
The "Project Office" option should be enabled in iCloud Drive by default. Check "iCloud Drive" → "Options..." → "Documents" tab.
To share projects to your iOS device, after finishing up with your project, choose "iCloud Drive" folder when saving a new project on your Mac.
Opening files from "Files" App on iOS device:
First, check if "Project Office" app has an access to iCloud Drive Document Storage: "Settings" → "Project" → "Document Storage". The "iCloud Drive" field should be selected.
Inside the "Files" app you can choose the location to browse saved files: "iCloud Drive" or "On My iPhone". Choosing "On My iPhone" option gives an access to all files saved on your device. To work on the same project both on Mac and iOS device choose "iCloud Drive" folder.
There are two types of project files: simple and archived.
Simple project file — is a usual project file, that is stored and saved on iCloud Drive. For example, if you open project file in iCloud Drive, than make some changes and save it, this file will be written all over in iCloud Drive.
Archived project file — is a file with archived project, that is stored on iCloud Drive, but saved on device (Local Documents). For example, if you open project file in iCloud Drive, than make some changes and save it, this file will be written all over inside Project Office app in Local Documents. But the source project file in iCloud Drive will remail without changes.
Opening files from Project Office app:
Inside the app there is "Local Documents" section, that contains all files saved in the app on current device — "On My iPhone" (in "Files" App).
In addition you can access saved projects using integrated "Files" App directly from the Projects Folder. After tapping button the "iCloud Drive" window is opened.
Projects that are saved in iCloud Drive are available both on Mac and iPhone/iPad.
Simultaneous work on many devices
At simultaneous work on several devices, the program reports about changes and proposes to save one or more project files.
You can save either one of selected files, or keep all at once.
