Welcome to Task Office for iOS
Task Office is a task and project iOS management app. Designed to make business planning more easy and joyful it makes your plans clear and achievable. All information you will ever need: tasks, projects, contacts, appointments, email, schedule at your fingertips.

After you have installed Task Office for the first time, you will find yourself at the Start Page.
From Start Page you can:
Start Page is available from Home Screen by tapping button.
After you choose Get Started or Browse Sample, you are transferred to the Home Tab . Each new connection to Task Office starts on this page. This is a convenient way to see your tasks for Today.
Home Tab displays following information and opportunities:
- List of tasks (ToDo, Appointments and Email/Call) and Projects scheduled for Today, Tomorrow and next 5 days.
- On the top of list are displayed overdue tasks marked in red color.
- Graphic calendar with current date and time.
- Visualized tasks planned for Today.
- An option to add new Tasks, Projects, Contacts and Companies: by Button or Tap&Hold on Calendar.
Home Tab Calendar contains visualized schedule for Today. To activate this mode in iPhone version left swipe on the screen.
You can edit time and duration of Task directly in Today Calendar.
- Tap and Hold on empty space on Calendar to add new task.
- Tap and Hold the task segment to activate Edit mode. The task will become highlighted and edit elements will appear.
- Tap and Pull edit elements to change task duration.
- Drag and Drop task to change task time.
The Projects Tab displays the list of all existing projects and detailed information.
The Projects Tab displays the following information and opportunities:
- List of projects.
- Search field.
- All projects are sorted by Due Date. Projects without Due Dates are displayed in the end of the list.
- An option to add new Project.
- Detailed Project Information.
- Progress pipeline.
- Tasks assigned to Project.
- Contacts that are involved in this Project.
Depending on Start Date each of task has its own place: Today, Scheduled or Someday.
You can create Tasks of 3 Types: ToDo, Appointment, Email/Call:
- ToDo – tasks of this type can be saved with or without one or both Start or Due Date. If you add Start Date, the system automatically fills in Due Date. Tasks of ToDo type are saved without exact time, ToDo task duration is measured in days.
- Appointment – task of this type is necessarily saved both with Start and Due Date. Due Date time can be set only within the selected Start Date. Task duration is measured within one day.
- Email/Call – task of this type is necessarily saved with Start Date only. Task Start Time is set within: 00, 15, 30 or 45 minutes. Email/Call tasks are saved with 15 minutes duration.

To make some changes in Task or Project tapbutton. In Edit Popover you can modify any of the fields and edit all the information you need.
All newly created tasks that have no Start Date are kept in Inbox. If only you add a Start Date the task will be transferred to Today or Scheduled.
You can change task order by Drag&Drop tasks. To activate Edit mode tapbutton.
All newly created tasks that have Start Date set for current date and tasks overdue earlier are kept in Today folder. When Start or Due Date falls on today, tasks with appropriate date are transferred from Scheduled to Today.
All newly created tasks that have Start Date set for future dates are saved in Scheduled. Tasks of this type necessarily should have both Start and Due Date.
You have added task, but have not decided when the task should be performed? Set Due Date to Someday and save it in the long run.
NOTE: In Someday Tab Start Date field is inactive. If Due Date of task is set to Someday, than Start Date becomes empty and can not be edited.
All tasks with Someday Due Date are saved and displayed in Someday folder.
This list displays all tasks grouped by categories. Each category has its unique color. The System allows user to choose one of 5 standard categories or add up to 15 personal categories. You can choose a default category, that will be assigned to each of your task by default. As only you choose some category, task (project, contact or company) are displayed in this color.
This list displays all tasks delegated to some of your contacts. All tasks, that are not assigned to some contact are displayed as “No Contact”
The Not Done list comprises of all incomplete tasks (Open, In Progress, Pending). Firstly tasks with Due Date are shown, than all others in alphabetical order. If task is marked as «Done» or task status is changed to «Done», it is automatically transferred to Done.
This list displays all completed tasks, sorted by performance date.
Swipe down to activate grouping controller and easily group tasks by Categories, Projects or Priority.
After you have set Start and Due Date of task, you can set Task Alert. At time you have chosen an app will remind you that this task comes. The System use a standard iOS alert accompanied by an audible signal. Notification occurs during a working in program and if you work out of program.
Task Office Contacts Tab displays the following information and opportunities:
- Contacts Lists
- Companies Lists
- Private Lists
- Important information about your contact or company
- Contact activity – tasks assigned to certain contact
- Company members
Add new Contact/Company: directly in App or import existing from your device contacts book.
The System imports iOS contacts with Company Name and all other information on this contact.
NOTE: Only contacts that have First Name or Last Name can be imported.
To import from iOS Contacts, tapbutton and mark Contacts you want to import to app
In Contacts tab you can filter your contacts list. This gives you an option to concentrate only on those people you are interested to view at the moment and view contacts listed by chosen criteria.
To get filtered your contacts list tapbutton and filter options will be opened:
Choose characteristics of Contacts you want to filter:
- whether these contacts have assigned tasks or not – Active, Inactive, All;
- what Companies they belong to;
- what Categories they are assigned to.
You can group people of one department in Private List, so that you can easily monitor their productivity and track task implementation. Save filtered contacts as Private list and refer back to it easily. Private Lists are auto-updated so you always have the latest information.
To create your Private List tapbutton in Filter.
To choose what List to view: Contacts, Companies or Private Lists tapbutton.
You can send e-mails to contacts directly from Contacts Screen or directly from Task Info.
View Address on the map
You can view contact/company address location on the map. Tap on address to open it on the map.
Open URL in Web browser
All URL addresses you add can be opened in your device web browser. Tap on URL to open it.
There are 3 different ways to view your calendar in Task Office: Day, Week and Month.
To switch between calendar views in iPad version - use segment controller:
Calendar in iPhone version is opened on Month Calendar, by default.
If in Month Calendar there are more than 3 tasks for one day, you need to double tap on cell to view all tasks planned for this day. The System will transfer you to Day Calendar.
To move to Month Calendar simply rotate iPhone to Landscape mode.
Task Info window appears after tapping on some Task.
In Calendar Tab, as well as in Home Tab (see Home Page) you can Tap & Hold to add new task and Drag & Drop to edit existing.
You can Sync all data via iCloud and use it on any iPhone or iPad under your Apple ID. You will be able to access your tasks, projects, contacts, calendar. Once you have iCloud set up on your device.
To give Task Office access to your iCloud sync, go to Settings → iCloud Drive and tap the toggles for the Task Office.
NOTE: if iCloud Sync is activated, then all data from app are saved on an invisible online repository. You will use this data all the time while iCloud Sync is turned on.
Sync with iOS Calendar
To start Sync tasks between Task Office and iOS Calendar you need to allow Task Office to access your iOS Calendar
Tasks are synced:
- from Task Office to iOS Calendar with calendar type “Task Office”
- from iOS Calendar with calendar type “Task Office” to Task Office
NOTE: to Sync tasks you need to choose calendar type “Task Office” in iOS Calendar.
Only Not Done Tasks with Start and Due Date can be synced. Fields that are synced:
- Task Title
- Start Date
- Due Date
- Second Alert
NOTE: Since in Task Office there are such types of tasks as ToDo, Appointment, Email/Call, but in iOS Calendar there is no these types, then Sync will be as follows:
When syncing tasks from iOS Calendar, an app displays tasks with interval 3 months before Today and 6 months after Today. Moreover, if task contains Repeats, then an app displays all overdue tasks of this period and 10 following tasks.
NOTE: You can NOT customize Repeat (Recurrence Rule) in Task Office, if there is no access to iOS Calendar.
After you Delete “Task Office” Calendar from iOS Calendar all tasks will be deleted both from app and from iOS Calendar.
Task Office syncs only tasks created in iOS Calendar, but it does not sync tasks created in other calendars. For example, a task created in Gmail Calendar will be synced to iOS Calendar, but will not be synced to Task Office Calendar.
